The short version: DialogLab records and analyzes conversations to provide coaching feedback. We store your account info, audio/transcripts, and derived analytics. We don't sell your data. You can delete everything at any time.
1. Who We Are
DialogLab ("DialogLab," "we," "our," or "us") provides AI-powered conversation coaching software, including the Edge Coach AI application and related services accessible at dialoglab.ai.
We are the data controller for the personal information described in this policy. Questions can be directed to us at the contact details in Section 12.
2. What We Collect
Account information
Name and email address (required to create an account)
Password (stored as a one-way hash — we never see your plain-text password)
Subscription and billing information (processed and stored by Stripe; we receive only a customer ID and subscription status)
Two-factor authentication credentials if you enable 2FA
Conversation and session data
Audio recordings you initiate within the app
Transcripts generated from those recordings
EDGE framework scores and coaching analytics derived from your conversations
Contact names and companies you enter to label your sessions (e.g., customer names)
Session metadata: date, duration, meeting type, use-case tag
Usage and technical data
Device type and operating system
App version and feature flags
Crash and error logs (no conversation content included)
IP address (used for rate limiting and security; not linked to sessions)
Communications
Messages you send us via the contact form
Email correspondence and support tickets
Newsletter subscription email if you opt in
3. How We Use Your Data
Deliver the service — transcribing recordings, generating EDGE scores, storing session history, and presenting coaching reports
Account management — authentication, password reset, subscription management, and billing
Security — detecting abuse, enforcing rate limits, and protecting user accounts
Product improvement — aggregate, anonymised analytics to understand which features are used (no individual session content is used for model training without explicit opt-in consent)
Communications — responding to support requests, sending transactional emails (receipts, password resets), and sending product update emails if you subscribed
Legal compliance — complying with applicable laws and responding to lawful requests from authorities
We do not use your conversation recordings or transcripts to train AI models without your explicit written consent.
4. Who We Share Data With
We do not sell or rent your personal data. We share data only with the following categories of trusted service providers, all of whom are contractually bound to protect it:
Stripe — payment processing (subject to Stripe's Privacy Policy)
Deepgram — speech-to-text transcription of audio you submit (audio is processed and not retained by Deepgram beyond the API call)
Google (Gemini) / Anthropic (Claude) — AI analysis of conversation transcripts; prompts are sent without identifying account information where possible
Infrastructure providers — cloud hosting and database storage (Fly.io); data is stored encrypted at rest
Email service providers — transactional and newsletter emails
We may disclose data if required by law, court order, or to protect the rights and safety of DialogLab or its users.
5. How Long We Keep Data
Account data — retained while your account is active and for 30 days after deletion to allow recovery
Session recordings and transcripts — retained until you delete them or close your account
Billing records — retained for 7 years as required by tax and accounting regulations
Support correspondence — retained for 2 years
Server logs — rolling 90-day window, then deleted
6. Security
We implement industry-standard security measures including:
TLS encryption for all data in transit
Encryption at rest for all stored data
Bcrypt hashing for passwords
JWT-based authentication with short-lived access tokens
Optional two-factor authentication
No system is perfectly secure. If you believe your account has been compromised, contact us immediately at support@dialoglab.ai.
7. Your Rights
Regardless of where you are located, you have the right to:
Access — request a copy of the personal data we hold about you
Correction — ask us to correct inaccurate or incomplete data
Deletion — request deletion of your account and all associated data
Portability — receive your session data in a machine-readable format
Opt-out — unsubscribe from marketing emails at any time via the link in any email, or by contacting us
Withdraw consent — where processing is based on consent, you can withdraw it at any time
To exercise any of these rights, email privacy@dialoglab.ai with the subject line "Privacy Request." We will respond within 30 days.
8. GDPR — EU and UK Users
If you are located in the European Union or United Kingdom, the following applies in addition to the sections above.
Legal bases for processing
Contract performance — account creation and service delivery
Consent — marketing emails, optional analytics features, AI model training (if ever offered)
Legal obligation — tax records, law enforcement requests
Data transfers
Your data may be processed in the United States. We rely on Standard Contractual Clauses (SCCs) for transfers to third-party processors located outside the EU/UK.
Supervisory authority
You have the right to lodge a complaint with your local data protection authority (e.g., the ICO in the UK, or your EU member-state authority).
9. CCPA — California Residents
Under the California Consumer Privacy Act you have the right to:
Know what personal information we collect and how it is used
Request deletion of your personal information
Opt out of the "sale" of personal information — we do not sell personal information
Non-discrimination for exercising your rights

10. Children's Privacy
DialogLab is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it promptly.
11. Changes to This Policy
We may update this policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where required by law, notify you by email or in-app notification. Continued use of DialogLab after changes take effect constitutes acceptance of the revised policy.
